Overview

Reporting to the Practice Manager, the surgical coordinator works with providers and the surgical team for all surgical and presurgical scheduling.  The surgical coordinator will provide patient surgical scheduling support by phone, email or fax depending on the needs of the patient.

Responsibilities

 

  • Schedule Mohs/excision for surgeons to include internal patients and referrals from PCP providers.
  • Schedule surgical pre-op consults.
  • Receive phone notes from providers for scheduling Mohs/ excisions procedures.
  • Mail out confirmation of surgery packets at least a week in advance of surgery.
  • Maintain schedule to capacity, avoiding excessive overbooking.
  • Re-fill surgery appointment slots when cancellations occur.
  • Receive incoming patient calls regarding Mohs (its own queue).
  • Ensure that Mohs phone calls are answered before the third ring. Collect and respond to messages left on the Mohs voicemail.
  • Work with referring offices to schedule Mohs surgery and ensure path report is received and scanned into patients’ medical record prior to surgery.
  • Work with patients and external medical facilities for patients referred out for more complicated surgical needs.
  • Assemble notes for schedule, one week in advance.
  • Coordinate rescheduling of surgery cancellations.
  • Oversee the wait list, move up promptly when an appointment slot opens.
  • Oversee the existing appointment ticklers and make follow up to calls to patients when needed.
  • Respond to provider flags in electronic medical record (EMR).
  • If primary work location is onsite at the front desk, teammates are also responsible for the schedule prep, check-in and check-out responsibilities as outlined in the Medical Receptionist job description.

Minimum Qualifications:

  • Education: High school diploma or equivalent.
  • At least two years related experience required.

Pay range: $20-$27.14/hr, based on experience

 

Qualifications

 

 

Minimum Qualifications

 

  • Mandatory High School Diploma or equivalent (GED) required.
  • Preferred dermatology, Mohs experience and or surgical scheduling
  • Preferred Medical assistant certification

  • Working knowledge of EMA, Athena GE, GE Centricity, and Epic
  • Complete Administrative Proficiency (Microsoft Office Suite, Web-based applications, email, or related software)

  • Excellent time management skills with a proven ability to meet deadlines.
  • Must possess strong problem-solving abilities and analytical skills to ensure patient’s needs are met.
  • Ability to function well in a high-paced and at times stressful environment.
  • Strong interpersonal and customer service skills required to communicate with patients, family members, clinicians, as well as other colleagues in a positive, professional manner.
